Invite an Organisation in Shape

Learn how to invite new organisations to your Shape project, assign ownership, and manage collaboration while maintaining data privacy.

Shape is designed as an inter-organisational management tool, enabling Clients, Consultants, Main Contractors, and the entire Supply Chain to collaborate effectively on a single project, whilst maintaining data privacy and autonomy. This guide walks you through how to invite new organisations to your project and manage data between multiple organisations using Shape.

Step-by-Step Guide to Adding a New Organisation to a Project

Step 1: Access the Admin Panel

  • Locate and click the cog icon in the left-hand navigation pane to open the Admin section.

Step 2: Navigate to Organisations

  • Click on the "Organisations" tab to view the current list of project organisations.

Step 3: Add New Organisation

  • Click on "+ New Organisation" to add another organisation.

  • Give the organisation a name. Note: This can later be modified by the Owner of that organisation.

  • Add Responsible People by inputting their email address and clicking "Add and notify to join".
    Note: The ‘Responsible People’ will automatically be added as the ‘Owners’ of that organisation.

Notifications and Organisation Ownership

  • Once you have invited new members, they will receive an email notification inviting them to join the project.

  • You can see who has joined another organisation on your project by navigating between the "Joined" and "Pending" tabs when viewing an organisation.

  • When a Responsible Person accepts the invitation, they take ownership of that organisation.
    This means:

    • Editing rights are transferred to them.

    • They are now responsible for managing their team and settings.

    • The original creator will no longer be able to make changes to that organisation.

Responsible People have the authority to:

  • Add or remove team members specific to their organisation.

  • Update organisation details.

  • Control data visibility — deciding what to share or keep private.

  • Each organisation has its own private workspace with full autonomy.

  • Organisations can only see information shared with them. For example, an Issue assigned across organisations will be visible to both.

  • Ownership is transferred to the responsible person upon acceptance.

  • Visibility settings help teams control what information is shared or kept internal.
