How to Export or Share a Shift Report in Shape

Use the Shift Manager to export or share structured reports that document site progress and keep teams on track.

This guide walks you through the process of exporting or sharing Shift Reports using the Shift Manager in Shape. Exporting reports allows you to archive progress, share updates with stakeholders, and maintain consistent project documentation.

What Is a Shift Report?

Shift Reports are daily records that capture site progress, delays, resource usage, and health and safety observations. In Shape, they can be collaboratively edited, reviewed, and exported as structured PDF files.

Steps to Export or Share a Shift Report

Step 1: Complete and Publish the Report

Before exporting, ensure the report is finalised and published.

  1. Complete the Report

    • Fill in all relevant sections, including:

      • Progress Records

      • Downtime and Delays

      • Resources

      • HSE

    • Use the Data Completeness Indicator to check for missing fields.

  2. Publish the Report

    • Click Publish in the top-right corner of the editor.

    • A PDF file is automatically generated and stored with the report.

Step 2: Go to the Published Tab

  • Navigate to the Published tab under Shift Reports.

  • Here, you'll see a list of all completed and published reports.

  • From this tab, you can view, duplicate, or export any report.

Step 3: Export the Report

  1. Find the report you want to export.

  2. Click Export to choose your preferred format:

    • PDF – Download a formatted version for sharing or recordkeeping.

    • Excel – Export multiple reports in one spreadsheet (available in Manager View).

  3. The exported file will download automatically via your browser.

Step 4: Share the File

Once downloaded, you can share the exported report:

  • Attach it to an email

  • Upload to your project’s document management system

  • Share via your company’s preferred communication platform

Ensure you follow your organisation’s file-sharing protocols.

Additional Tips

Use Collaborators

  • Add Collaborators to help complete the report before publishing.

  • Only the original author can publish the final report.

Set the Right Visibility

  • Check Visibility Settings to control who can view the report:

    • Private – Viewable only by your organisation

    • Project-Wide – Accessible to all project members

Try Manager View

  • Use Manager View for:

    • Exporting multiple reports at once

    • Filtering by date or author

    • Monitoring reporting activity using the summary grid
